Guidelines - Commission & Interest Group Division Representatives
Title—Division
Representatives:
One Division Representative is elected by new and continuing Commission
chairpersons for a two-year term and is not eligible for two consecutive
elected terms in this office. Another Division Representative is
appointed by the NACADA President and is not eligible for two consecutive
terms in this office. These two positions are staggered in terms
so that both offices do not become vacant in the same year. A minimum
of one full term as a commission chairperson is required to be eligible
for the Division Representative position. The Division Representatives
report to the NACADA President and serve as voting members on the
NACADA Council.
General
Description of Function:
The Division
Representatives are responsible for all Commissions and Interest
Groups, including their formation, activities and evaluation.
The Division Representatives also oversee and work in conjunction
with a Commission and Interest Group Division Steering Committee.
The Division Representatives have the following responsibilities:

To
prepare and submit an annual budget to the Finance Committee.
(Elected Rep in consultation with Appointed Rep)

To
prepare, as necessary, supplemental budget requests. (Elected
Rep in consultation with Appointed Rep)

To
monitor cost center budget to ensure effective use of NACADA
funds. (both Reps)

To
comply with fiscal procedures established by the Finance Committee
and the Executive Office. (both Reps)

To
participate in the fall NACADA Council meeting and other meetings
as invited. (both Reps)

To
prepare for and facilitate the Commission and Interest Group
Division Annual Meeting before the NACADA conference each Fall.
(Both Reps prepare - elected Rep chairs the meeting and prepares
final agenda)

To
prepare timely and complete written reports to the Council and
Executive Office prior to the fall meeting. (Elected Rep prepares
with assistance from appointed Rep and Executive Office liaison)

To
make recommendations to the Council on policies, procedures,
and programs related to Commission and Interest Group Division
concerns. (both Reps)

To
comply with the NACADA by-laws. (both Reps)

To
convene the Commission and Interest Group Division Steering
committee. (Elected Rep is official convener/prepares agenda;
both Reps assist in preparations and participate in meeting)

To
undertake specific projects at the request of the President
or NACADA Council. (both Reps)

To
represent NACADA at regional meetings and external functions
as requested by the President. (both Reps)

To
forward appropriate requests for new commissions to the Division
for approval. (Elected Rep prepares meeting agenda; thus, is
responsible for this.)

To
oversee the activities of all Commissions and Interest Groups.
(both Reps)

To
conduct an annual review and evaluation of all Commissions and
set performance goals for them as appropriate. (both Reps)

To
actively encourage membership and retention of members in NACADA.
(both Reps)

The Division Representatives appoint initial chairs of new Interest
Groups. (Elected Rep in consultation with appointed Rep and
Executive Office liaison)

The
Division Representatives will appoint (with NACADA Board approval)
commission members to fulfill the remaining term of any chair
who resigns his/her position. (Elected Rep in consultation with
appointed Rep and Executive Office liaison)

The
Division Representatives will appoint past commission chairpersons
to replace division steering committee members as needed. (Elected
Rep in consultation with appointed Rep and Executive Office
Liaison)
