Planning
for the Future!
Congratulations!
You made it! Now a final task to help all conference chairs for
the next decade!
The
final report will definitely influence many factors for future conferences.
-
Hotels give a better rate if they know approximately how many
will come, which nights they will stay and how many rooms will
be used.
-
The Conference planning committee will use these numbers to estimate
budgets and plan workload.
-
Location choices may be influenced by statistics on report.
-
Evaluations can confirm topics to be continued and new topics/activities
to be considered
- Tasks
can be done more efficiently
Conference
Reporting
The
following reports must be made:
-
Names, addresses and fees of participants who were NEW
registrants on-site must be forwarded to the Executive
Office IMMEDIATELY following the conference so they will receive
official confirmation of payment and member benefits. In addition,
a list of people who were NO SHOWS (did not come
to the conference) must be submitted.
-
A final report should be submitted within 30 days. Your reports
should be sent to your Region Chair, the Executive Office and
next year's Regional Conference Chair. Please include a copy of
the
-
printed program with NBCC sessions clearly marked
-
A brief summary of the evaluations
-
Report of # of sleeping rooms used at the hotel and food function
attendance at each event. If you required overflow rooms,
please call those hotels for an estimate of the number of
attendees which stayed at those hotels.
- NOTE: The
Executive Office will have on file a financial statistics and
a complete roster of attendees with phone, and e-mail. A
few weeks after the conference (when we have had time to gather
payments, etc.) you may ask for a final financial report of the
amounts spent and balances in the accounts.
