Dear Commission and Interest Group Chairs:

The National Conference in Cincinnati will be here before we know it! To assist you with preparations for your unit's table at the Commission & Interest Group Fair, below are suggestions of items or activities that you may wish to incorporate:

  1. Books, articles, web sites related to the group's specific topics
  2. Flyer/newsletter highlighting the commission's or interest group's
    contact information, activities, resources, conference events, and web
    page and/or list serve opportunities for all NACADA members to access
  3. Commission or interest group could invite their members to display their institution's publications.
  4. Highlight some of the "best practices" in publications from institutions or specific authors.
  5. Commission or interest group web pages could have an index of publications or web pages from a variety of institutions that focus on the specific population. The web page index could be displayed at the fair or included in a handout. This information can also be posted on your unit's "Resources" web page.
  6. Institutions could share their standard policies and procedures working with the specific population via handouts or publications.

Last year, the Executive Office supplied trifold display boards for the Fair tables on which chairs highlighted resources and the benefits of their respective units. If you are interested in doing this, NACADA would like to make these project display boards available to you again this year. These display boards would be table-top and tri-fold, made of foam core about 1/4-inch thick, and are all black with no writing on it. The overall board dimensions are 32x40 inches -- the middle panel is 20 inches wide and the two side panels are each 10 inches wide. Hopefully, having these dimensions will make it easier for you to plan the layout and prepare items for your display ahead of time. These display boards will be provided to you at the Division meeting in Cincinnati on Tues., Oct. 5. Push pins will also be provided for your use in posting your materials to the boards.

The Commission & Interest Group Fair will be held on Thursday morning, October 7, from 7:30-8:30 a.m. in the Ballroom in the Cincinnati Convention Center. Continental breakfast for conference attendees will be provided during that same time in the same room. Commission and Interest Group Chairs will be able to set up for the Fair beginning at 6:30 a.m. that morning. Tables and the large overhead signs (one for each unit) are provided and will already be set up. The revised CIG Division brochure will be distributed for you to hand out at your individual tables. [FYI - due to other activities, the Ballroom will not be available to set up the night before.]

Each Commission and Interest Group has been allocated $50 to spend on items for your unit's table at the Fair. Below are spending guidelines and reimbursement procedures for these funds.

SPENDING GUIDELINES FOR THE $50 FAIR FUNDS:

  1. Suggestions for items that might be purchased with these funds:
    • Copies made of handouts
    • Table decorations, including balloons*, flowers, etc.
    • Supplies (such as construction paper, marking pens, stickers, glitter, etc.)
    • Giveaways
    • Shipping costs of sending handouts/materials to Cincinnati
  2. It is recommended that these funds not be used for:
    • Display boards, push pins (provided by the Executive Office)
    • Snacks/refreshments (since the Fair is being held in conjunction with a continental breakfast for conference attendees)

* The Executive Office will have a helium tank on-site for inflating balloons that you may bring to decorate your table.

REIMBURSEMENT PROCEDURES FOR THE $50 FAIR FUNDS:

  1. Save receipts for all purchases/expenses.
  2. Commission Chairs should add their expenses to the Fall Meeting Reimbursement Form and attach receipts. A special reimbursement form for these expenses will be provided to Interest Group Chairs at the CIG Division meeting.
  3. Submit reimbursement form and receipts to Julia Wolf (either at the conference or mail to Executive Office afterwards).
  4. Reimbursements will be processed within a few days after returning from the national conference.
