NACADA Division Representative Position Overview

Leadership Opportunities — Division Representative*

  • Administrative Division Representative:
    • elected by the Standing Committee Chairs and Advisory Board Chairs serving under this officer's leadership
    • serves a 2-year term on the NACADA Council, staggered with term of appointed Division Rep
    • Prior to taking office, must have served a full term as a Standing Committee Chair.
    • elected by the Commission Chairs serving under this officer's leadership
    • serves a 2-year term on the NACADA Council, staggered with term of appointed Division Rep
    • Prior to taking office, must have served a full term as a Commission Chair.
  • Regional Division Representative:
    • elected by the Region Chairs serving under this officer's leadership
    • serves a 2-year term on the NACADA Council, staggered with term of appointed Division Rep
    • Prior to taking office, must have served a full term as a Region Chair.

* NOTE: A second Division Representative is appointed by the President to a staggered 2-year term to work together with the elected Division Representative in each Division.


COUNCIL — The NACADA Council receives recommendations from the Divisions on policies, procedures, and programs to meet member needs and to advance the Association. The Council members review these issues and either refers them back for further study or advances them to the Board with priority recommendations for implementation. The six Division Representatives, the Vice President, and the Executive Director comprise the NACADA Council.  The Divisions focus on the particular interests and needs of the general membership within their purview, and will determine any additional internal governing structure required/desired within the Divisions with the approval of the Board of Directors.

DIVISION REPRESENTATIVES — The Division Representatives are responsible for bringing issues, proposals, and/or funding needs from the Division to the Council for consideration, discussion, recommendation, and/or approval. The Division Representatives are also responsible for assisting in the development of governing structures and other governing issues of the subdivisions.


Major Leadership Responsibilities:

NACADA Council

  • Provides direction for the Divisions by ensuring the goals and activities planned are consistent with the Strategic Plan of the Association.
  • Receives recommendations from the Divisions on policies, procedures, and programs to meet member needs and to advance the Association.
  • Reviews these issues and either refers them back to the appropriate Division for further study,or approves them, or advances them to the Board with priority recommendations for implementation, if needed.
  • Assists with setting policies and procedures for the Divisions.

Division Representative —

  • The Elected and Appointed Division Representatives provide leadership for the Division. The staggered terms of the two Division Representatives provide continuity of support during the transition of one new Rep each year.
  • Both Division Representatives will share the following Division leadership responsibilities:
    • Convene meetings and appoint person to take minutes.
    • Advise Unit Chairs on activities.
    • Present Division items to the Council as needed.
    • Oversee the financial affairs of the Division by preparing Division Budget Request, which includes recommendations on requests from Unit Chairs.
    • Appoint Unit Chair replacements when untimely vacancies occur.
    • Orient new Chairs of sub-units within the Division.
    • Gather post-conference and annual reports from Unit Chairs, and distribute these reports to the Executive Office and Council.
    • Prepare timely written Division reports to the Council and Board of Directors.
    • Review and update the Division Handbook, policies, and procedures.
    • Handle sub-unit organization and recognition processes.

Meetings to attend:

  • Mid-Year Council meeting in the spring — attendance is optional at the mid-year Board of Directors meeting.
  • Fall meeting for respective Division held prior to the Annual Conference
  • Fall Council meeting at the NACADA Annual Conference — attendance is optional at the fall Board of Directors meeting held immediately following the conference.
  • Teleconferences as scheduled by the NACADA Vice President

 

Budgets to prepare and monitor:

  • Review and approve fall and post-conference reports submitted by respective Unit Chairs, including budget requests.
  • Oversee Division expenditures and allocation of funds.

 

Written reports/communications:

  • Communicate with Unit Chairs — Announcements are sent electronically to the Unit Chairs within their respective Division as needed.
  • Review reports submitted by the Unit Chairs in their respective Division to ensure the goals and activities planned are in relation to the NACADA missions and strategies.
  • Prepare and submit fall and mid-year Division reports to the Council and Board of Directors, including issues to be discussed.
  • Submit short articles to Academic Advising Today e-publication as warranted on Division news and topics of interest to the general membership.

 

Resources and Support:

  • Your institution gives approval and provides support to your commitment to this position, including your registration fees and all expenses for the fall Annual Conference.
  • NACADA provides limited funds towards participation in the annual fall leadership meetings, and provides reimbursements for spring meeting expenses.
  • The Executive Office provides staff assistance for web updates, communications to members, financial management, membership information and statistics, conference calls, etc.
