Under the general supervision of the Assistant Dean of Academic Support, the Administrative Support Assistant/Program Coordinator provides general office and administrative support for the Center for Advising and Academic Success (CAAS), which includes the Academic Success Program, Tutoring Program, Provisional Program, Academic Coaching Program, and Student-Athlete Academic Services; assists with planning and logistical coordination for CAAS events, academic success workshops, Fall and Spring new student registration, marketing and promotion.
Provide general office and administrative support for the Assistant Dean of Academic Support, Assistant Directors, and Academic Support Coordinators.
Ensures CAAS is properly staffed by student managers during the Center’s day, evening, and weekend hours.
Direct students, faculty, staff, and the general public to the appropriate person, program, or office.
Takes minutes at all staff meetings and share in a timely fashion.
Track and report budget spending and revenue, handling reimbursements for 2 accounts.
Assist with scheduling advising appointments for the Assistant Dean and CAAS Advising Staff.
Arrange for facilities work requests, repairs, and servicing of equipment/facility. Program and Event Support:
Supervise, hire, train, schedule, and manage payroll for 16-18 Student Managers and 3 Poet undergraduate Interns.
Oversee Community Building efforts among student staff employees in CAAS.
Support maintenance of TutorTrac database software used to track center’s services.
Support the compilation of data and production of semester program assessment reports.
Assist Assistant Dean with Fall and Spring new student registration logistics and scheduling faculty advising appointments.
Disseminate Academic Probation and Warning letters to students and their faculty advisors.
Provide logistical support for all special events and programs. Marketing:
Assist the Assistant Dean with maintaining the CAAS webpage, Social Media, OrgSync, preparing marketing and other promotions for the Center’s activities and services, including the monthly CAAS newsletter.•Assist the Assistant Dean with updating the CAAS brochure, marketing materials, and purchasing with on and off campus vendors.
Perform a variety of other duties as assigned.
