2003 Annual Conference - Audio Visual Hints


  • If you need to mail handouts to your hotel in advance: NOTE: The Adam's Mark Dallas charges guests $5.00 per day to store each box--even if the box arrives the same day as the guest does, the $5.00 charge applies. Shipping label should look like this:

    Your name
    Hotel guest--arrival date xx/xx/03 (write out "hotel guest", not your name on this line.)

  • Please bring a minimum of 150 handouts for all concurrent, discussion, and poster sessions; pre-conference workshop presenters may contact the Executive for the exact number of participants who have registered for your sessions. Our conference meeting rooms will accommodate a range of 60 to 225 participants; therefore, bringing this number should help insure that you have enough handouts for those in attendance at your session. Extra copies of handouts can be taken to the Exhibit/Publications room where we will have a table to display them. Participants are not able to attend all sessions and often appreciate copies of presentations they were unable to attend.
  • Visual aids are highly effective in presentations if presenters use them effectively. Some hints for effective use are:
    • Overheads/PowerPoint slides must be relevant to the presentation
    • Keep overheads/PowerPoint slides simple; avoid complex graphs, tables, charts.
    • Overheads/PowerPoint slides should have the major points or ideas on which you plan to expand or discuss --- they should not have the text of your presentation on the slide or overhead.
    • Overheads/PowerPoint slides should be used to enhance or support your presentation --- not replace your verbal explanation nor overpower your presentation. 
  • Please review carefully your final confirmation letter received in June from the Executive Office to verify the audiovisual equipment you requested. WE WILL NOT BE ABLE TO PROVIDE ANY ADDITIONAL EQUIPMENT AT THE CONFERENCE.
