2018 NACADA Annual Conference Exhibits

Where will you find 3-4,000 advising professionals in one place, eager to learn about your products and services? At the yearly gathering of the most influential audience in academic advising — the 42nd Annual Conference of NACADA: The Global Community for Academic Advising in Phoenix, Arizona!

Faculty advisors, academic advisors, administrators, and other key decision makers attend the NACADA Annual Conference not only for professional development, but to buy products ranging from instructional software to student service resources. They want to know what you can offer to help them become better advisors.

*An optional exhibitor lunch hour is scheduled during the same time that participants are scheduled for lunch. You may choose to have lunch on your own during this scheduled lunch hour or stay at your booth, as you prefer.

Exhibit Packages

Register by April 30, 2018 and receive a 10% discount on your exhibit package.  Exhibit packages have been given advising-related names (Informational, Relational, or Conceptual) and opportunities for sponsorship are available for Conceptual Exhibitors at four different levels, Bronze, Silver, Gold and Platinum.  Please download this PDF to review the chart (pages 2 and 3) showing the three exhibit options and four sponsorship opportunities and benefits. (The Platinum level is shown on page 3.)

NACADA reserves the right to refuse requests for exhibit booth space and/or ad space in the conference program if they are deemed inconsistent with NACADA's mission and goals.

Exhibitor Presentations

An exhibitor presentation is offered to purchasers of the Conceptual exhibit package.  Presentations are optional and are assigned on a first-come, first-served basis.

Ad in Conference Program

Conceptual & Relational Exhibitors receive a free quarter page ad.  Exhibitors may upgrade to a larger ad size for an additional fee; only one ad per exhibitor will be printed in the conference program.  Ad specifications and prices are shown below.  Please send ads by email to bmartin@ksu.edu in black and white and in PDF press quality format by July 1, 2018Ad content will be reviewed and approved by NACADA before inclusion in the annual conference program.

Any organization unable to exhibit at NACADA's annual conference is welcome to advertise products or services by purchasing a print ad for the NACADA annual conference program.

Sponsorship Opportunities

Heighten your company's visibility by sponsoring or co-sponsoring special events, meal functions, refreshment breaks, or logoed items at NACADA's Annual Conference. Door Prizes (Optional)

If you would like to sponsor door prizes, you may do so by having a drawing for them at your booth.  To participate, let Bev Martin know the prize(s) you will be sponsoring by Friday, September 7 (email bmartin@ksu.edu).  Please provide a receptacle at your booth for collecting business cards/participant names.

Your prizes will be printed on a large sign along with your organization name as sponsor and positioned near the NACADA booth.  A blank line will be included next to each prize for entering winner name(s). Please draw for and write winner name(s) on the sign by 10:00 a.m. on Tuesday, October 2.
Winners must claim their prizes at each exhibiting sponsor's booth before exhibits close at 3:30 p.m. on Tuesday, October 2. If your prizes have not been claimed before you depart, you may leave them at the NACADA booth for pick-up by the winners.  The conference program indicates that prizes will not be mailed to the winners.

Participant List

An annual conference participant list is provided to exhibitors who register for the Conceptual Exhibitor Package.  Please follow the guidelines below for use of the participant list.

The NACADA 2018 Annual Conference participant list of physical mailing addresses is for NACADA registered exhibitor’s one-time use to advertise products or services to participants prior to the start of the conference in Phoenix.  The list excludes participants who did not wish to receive mailings or who did not want directory information released.  Please do not share the NACADA participant list with other individuals or institutions.

NACADA adheres to the CAN-SPAM Act of 2003 and does not release email addresses of its members or event participants.  NACADA discourages the sending of emails by exhibitors as these emails may imply, directly or indirectly, the endorsement of exhibitor products or services by NACADA.  The NACADA participant list is the property of NACADA.  Exhibitors that abuse any of these guidelines will not be granted the privilege to participate at future NACADA events.

Cancellation Policy

Written cancellations must be sent to Bev Martin at bmartin@ksu.edu; telephone cancellations will not be accepted.

A fee of $850/Conceptual Exhibitor, $450/Relational Exhibitor, and $350/Informational Exhibitor is non-refundable.  Refunds will not be made for cancellations postmarked or emailed after September 7, 2018.  In the unlikely event that NACADA would cancel this event prior to its start date, the exhibitor fee will be fully refundable.

NACADA assumes no responsibility for other expenses exhibitors may have incurred in relation to such cancellation.

Email Scams

During past conferences, our exhibitors may have received emails or phone calls from outside entites claiming to sell NACADA annual conference participant mailing lists or claiming that you must make hotel reservations through them.  NACADA has no affiliation with these entities, so please be aware that these are email scams and feel free to ignore, hang up, or delete as appropriate.  Contact Bev Martin at NACADA to report any such scams or if you have any questions.  Thank you.
