Position Description

The Academic Advisor III is responsible for serving as senior level position which may be required to recruit and advise graduate students concerning their educational or career goals, academic requirements, and related personal concerns; provides information on and refers students to University resources that can assist them in meeting their needs or solving their problems; may develop or oversee projects.


  • Advises on-campus M.Ed. and PhD. students on degree programs in the department, course planning and selections, career and academic goals; conducts degree plan audits, processes Q drops, add/drops and withdrawals; advises students with academic concerns and determines possible courses of action., Facilitates the update of doctoral student portfolios annually. Processes required graduate paperwork through OGAPS and the thesis office. Utilizes Compass database to process registration, Q drops, limit overrides, etc. Communicates frequently with current students to inform them of upcoming events, deadlines and opportunities.
  • Serves as contact and coordinator for campus showcase and Ph.D. Orientation events. Assists advising team with graduation reception and M.Ed. orientations.
  • Responds to inquiries via email, phone and in-person in a timely manner about on-campus graduate programs from students, has knowledge of University and college policies and procedure. Provides guidance and advice to prospective students in areas concerning graduate admissions requirements and deadlines. Serves to facilitate the application and admission for students. Assists with marketing and outreach efforts as needed.
  • Maintains database of current on-campus students and student files. Updates CEHD database with pertinent information. May develop and revise information materials and handbooks. Assists the department graduate committee by making room reservations, compiling agenda items and maintaining eCampus page. Performs other duties as assigned.

Required Qualifications

  • Bachelor's degree in applicable field or equivalent combination of education and experience.
  • Four years of experience in advising, recruiting, teaching, coaching, Student Affairs or other related area.
  • Ability to multi-task and work cooperatively with others.
  • Work beyond normal office hours and/or work on weekends.
  • Ability to multitask and work cooperatively with others.
  • Ability to present information clearly and concisely. Ability to work with sensitive information and maintain confidentiality.
  • Excellent written communication, analytical, interpersonal, and organizational skills.

Preferred Qualifications

  • Bachelor's degree or Master's degree. 
  • Five or more years of experience in a responsible management position, preferably in higher education.
