Under the general direction of the Chair and the Business Administrator II, the Academic Advisor I will participate in the management of the Departments undergraduate program, provide quality undergraduate student advising, support the undergraduate student programming in Mechanical Engineering, and other related undergraduate student activities as needed. This may include student recruiting activities, summer internship programs, K-12 outreach programming, and alumni relations. Responsibilities include identifying process improvement opportunities and implementing recommendations upon approval and managing a fiscally sound budget in collaboration with the Associate Chair for Undergraduate Education and the Department Chair. The Academic Advisor I conducts special studies as required to include summarization, analysis and interpretation of data. The Academic Advisor I may supervise or guide the activities of other staff.
Provide student advisement- academic, career planning, and/or refer student to personal counseling services as needed.
Provide advice and counseling with registration, academic/career options, and course scheduling for undergraduate students.
Coordinate administrative aspects of the undergraduate advisement program in collaboration with the College Undergraduate Advisement office.
Respond to inquiries, investigates, and resolves problems related to undergraduate transactions handled by the department.
Review and certify Senior Checkout for all graduating seniors.
Manage and update students’ applications, files, and records.
Check various forms for accuracy such as grade checks, overload petitions, curriculum changes; assist students in the completion of required forms.
Monitor, record, and rank departmental undergraduate students progress during Fall and Spring semesters.
Analyze progress reports from instructors; determine eligibility and satisfactory progress toward degree; identify current and potential needs or problems (e.g., study skills, tutoring) and refer students to appropriate campus resources for assistance.Interpret and explain college and university policies and procedures.
Compile, verify, and analyze statistical reports; prepare administrative forms that may contain confidential information.
Resolve procedural and administrative issues.
Conduct/facilitate research as needed for the purpose of planning or assessment.
Attend and advise new freshman and transfer students during New Student Orientation.
Assist with the planning, coordination, and attend the on-site undergraduate student recruiting events, including but not limited to Discovery Days, Decision Days, and Blue & Gold Days.
Interact with prospective students, parents, faculty and others during these events.
Manage the program planning of the undergraduate student recruitment processes and tracking; prepare recruiting and program information including the undergraduate recruiting brochure, handbook and orientation materials.
Work with faculty to screen and review departmental transfer applications.
Course scheduling for all Mechanical Engineering classes.
Avoid/resolve conflicts of departmental courses with each other and with courses outside the department that are part of the departmental curriculum.
Work with departmental faculty to submit for approval the descriptions of proposed new undergraduate and graduate courses and to change the descriptions of existing courses including changes in prerequisites and co-requisites.
Manage the submission of additions and edits to the UD Course Catalog to reflect all changes in course descriptions.Manage the collection and dissemination of course and program evaluation materials for the ABET (Accreditation Board for Engineering and Technology) process. Coordinate with the Alumni Office to both provide and receive alumni information needed for the ABET process.
Alumni Services: Manage the active research of current information pertaining to alumni. Organize and maintain alumni information and news for departmental functions and fund raising activities.
Develop and conduct alumni surveys; organize and archive the results of these surveys.Coordinate the synchronization of alumni information with the University’s Alumni and Development Offices.
In conjunction with the Director of Development, provide departmental information to the University’s Alumni and Development Offices.
Attend alumni events.
Check the list of registered attendees for departmental events in order to anticipate visits by department alumni.
Perform miscellaneous job related duties as assigned.
