Under the general supervision of the Director of the Center for Advising, Career, and Student Success (CACSS), the Advising Systems Analyst Information Technology Consultant provides application development, business analysis, and planning support for the primary Student Information System, Oracle Campus Solutions-Student with an emphasis on the advisement module. Additional focus areas of support for this position include applications development and user support for Customer Relationship Management and Media Development software. The analyst performs analysis, detailed coding, testing, and documentation to maintain and expand the scope of the advising tools in order to meet the business needs of the university. The Advising Analyst will partner with Records, Admissions, and Student Information Systems on Degree Audit, Smart Planner, and advisement technology initiatives, projects for improvements, and system maintenance. The Advising Analyst will support prioritization, elimination of duplication, and consolidation of processes.
- Ongoing responsibility for monitoring and maintaining accuracy of Smart Planner and proposing resolution for reported coding challenges and problem situations. Provides for the accurate, comprehensive, and timely implementation of changes in all the systems mentioned above. Responsible for the analysis of complex degree, general education and university requirements to support and maintain Smart Planner. Constructs and develops a coding schema based on the delivered PeopleSoft functionality. Executes testing and validates the desired results for Smart Planner. Responsible for documentation, maintenance, troubleshooting, and problem resolution related to the accuracy and reliability of the Academic Advising software and Smart Planner modules.
- Researches and evaluates Advisement technology solutions, performs gap-analysis, researches best-practices, understands workflows, controls business processes, develops and discusses recommendations to gather functional user requirements, prepares operational and evaluation/proposal documentation, develops and practices project management methods to create, communicate, implement and maintain project plans. Works collaboratively with Admissions and Records to initiate and implement process improvements to the Advisement Module. Attends regular calls hosted by the Chancellor's Office and attends technical work group meetings on campus.
- Develops a thorough understanding of the Student Information System (SIS), Campus Solutions-Student in support of advisement operations including Degree Audit and Smart Planner, and participates in the implementation and testing of upgrades as issued by Smart Planner, Symplicity, OnBase, College Scheduler and the CSU via collaboration with Academic Affairs and Enrollment Services. Produces operational queries, reports, and documentation.
- Develops and delivers training to advisors for all the CACSS e-advising tools and works with the CACSS Director to administer access to CACSS advisors. Acts as first point of contact for advisors and CACSS staff to report any e-advising software or CRM issues. Acts as a liaison between advisement end-users and IT/SIS. Identifies and resolves any training issues. Provides advisement systems support to CACSS advisors. Resolves production issues, implements system updates and disseminates system information to end users about new functionality, updates or system fixes.
- Provides power-user application support for the Advisement Customer Relationship Management (CRM) applications including Symplicity, College Scheduler and OnBase. Works with end-users to specify and document data requirements from the main SIS to the CRM and with IT on development of the interface. Oversees the data integrity of the CRM, maintains application security, provides end-users training, and develops/maintains system and business process documentation.
- Monitors policies, rules, and regulations of the University and its Colleges pertaining to degree requirements and major declaration processes by remaining informed of alterations to the CSUMB curriculum and GE requirements as issued by Academic Affairs and executive orders.
- Develops reports for the CACSS Director for strategic advisement planning. Supports the CACSS staff with support and training to run reports.
- Provides CMS access to professional staff advisors and student assistants. Provides all advisors and new CACSS staff with ongoing training support and training resources to effectively use SIS system for Advisement activities including the use of Advisement Center and review of a student's Degree Audit, as well as Smart Planner and other advising tools.Other
