Position Description

This position is responsible for directing the student academic within the office of Viterbi Admission and Student Affairs. This position reports to the Senior Associate Dean for Viterbi Admissions and Student Affairs.Academic Services is responsible for managing the day to day advisement and academic support services for all undergraduate students within the Viterbi School. This position manages three full-time staff. A significant component of this position is assisting in the monitoring of retention activities. This position serves as one of the primary points of contact on undergraduate issues for a variety of offices across campus including the Registrar’s office, Academic Review, Provost Undergraduate Program office, Academic Support Services, etc.


Development and management of orientation programs for Viterbi undergraduate students.

Development of academic support workshops to meet the needs of current undergraduate students. In addition, close collaboration on the design of programs and workshops is done with the Center for Engineering Diversity, Viterbi Student Engagement and Career Connections, as well as a variety of departmental offices.

Advisement and monitoring of at-risk students within the Viterbi School. These include working with advisement and student support staff in identifying and working with students who are on academic probation and/or students who are in crisis and who are at risk of not continuing their degrees.

Management of all databases related to advisement and enrollment issues.

Assisting with and monitoring the enrollment management of key courses for undergraduate students pursuing degrees within the Viterbi School. This includes monitoring enrollment and being cognizant of upcoming enrollment trends for future semesters and communicating those trends to departmental staff.

Coordination and oversight of monthly departmental advisor meetings to insure there is consistency across the various departments within the School.

Development and management of the First Year Excellence Program for first year students including advising and assigning cohorts of students to advisors, including managing a cohort of student advisees.

Development and oversight of website and other communication materials related to Academic Services, including review of sites developed by staff and maintaining currency of current sites; oversight for the development of the Viterbi undergraduate bulletin, Viterbi Connect newsletter, etc.

Serves as the Viterbi School representative on various university committees, including the Student Affairs Council and the Orientation Steering Committee.

Supervision of an Associate Director and two Assistant Directors in meeting their areas of responsibility, which include the coordination of the Engineering Honors Program, Viterbi Academic Resource Center, Merit Research Program, etc.

Assist the Senior Associate Dean as needed in strategic goal-setting and program/process development. Maintains professional and current knowledge as it relates to advisement issues and college student development issues to improve practices within the School.

Required Qualifications

Master’s degree or equivalent work experience in student students oriented office. 


Preferred Qualifications

Master’s degree in student personnel administration, education or counseling or equivalent work experience. Knowledge of USC programs and services as well as familiarity with the academic policies of the university. Experience with database systems or project management systems. Strong organizational skills and ability to set priorities in order to complete assignments within stated deadlines. Ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads. Ability to manage staff and students who support programs.
