Position Description

he Department of Mechanical Engineering in the College of Engineering and Applied Science is now accepting applications for an Undergraduate Academic Advisor. Professional advisors assist students in making informed decisions about a choice of major; advise students about the nature and content of the curricula and disciplines; help students to assess their interests, values, and academic skills and to understand these in relation to major choice and potential future career/graduate school options; teach students how to navigate the systems, academic processes and policies at CU-Boulder; help students to become contributing members of the CU community; and prepare students to take responsibility for making their own decisions about courses, academic programs, and long-term plans.

This professional advising position is responsible for providing academic and developmental advising for undergraduates in the Department of Mechanical Engineering (ME) in the College of Engineering & Applied Science. The position will have a regular caseload, the numbers of which may vary from year to year as enrollment fluctuates. The positon will be charged with developing and implementing advising strategies and interventions to enhance the performance and retention of undergraduate students that support the undergraduate educational mission of the department and college.

Duties

Undergraduate Academic Advising

  • Serve as an active member of the Mechanical Engineering undergraduate committee(s), providing "front line" insights, feedback and suggestions to faculty and the unit.
  • Build expertise in understanding the discipline/departmental programs and curricula through working with faculty and carry insights/best practices back to the college.
  • Collaborate and coordinate ME student services with the other undergraduate academic advisors.
  • Attend and participate in college undergraduate academic advising team meetings, sharing relevant information from/to the department/program.
  • Contribute to ongoing development and updating of undergraduate advising team's "best practices" and other college-wide advising activities.
  • Review students' progress toward graduation and advise students on their graduation status.
  • Work with the college's graduation coordinator in a timely manner to ensure that the tentative list of graduates' information is accurate and up-to-date.
  • Certify graduates' completion of all degree requirements.
  • Assist students in clarifying their values and in understanding their abilities, interests, limitations, and goals, and help students relate these to decisions about academic majors and careers.
  • Provide information and resources to assist students in making decisions, and in understanding the consequences of alternative courses of action.
  • Provide students with accurate information about general college degree requirements, major degree requirements, college and department/program academic policies and procedures.
  • Monitor students' academic performance, directing students who demonstrate strong performance to more challenging educational opportunities, and intervening with students in academic difficulty to recommend new approaches to time management and study skills, and to refer them to appropriate support services.
  • Work with other advisors on strategies to help at-risk students and students on academic alert/recovery/suspension with their academic success.
  • Stay current about all support services and educational programs on campus, and refer students to these as appropriate.
  • Use online systems as adopted by the campus/college to maintain an advising calendar for students, create accurate records of all advising meetings/interactions, and conduct appropriate outreach to students.
  • Maintain accurate and confidential online student academic records.
  • Assist in the development of guides and informational materials to support the academic advising process and student success.
  • Ensure that any online undergraduate advising handbooks are accurate and up-to-date, referring to college and/or campus web sites, whenever possible, in order to reduce redundancies and inaccuracies.
  • Utilize the online degree audit system to ensure students' progress towards degree is accurate and up-to-date.
  • Educate students on use of online degree audit system to monitor their own progress towards degree.
  • Utilize standardized best practices for processing specific actions in the online degree audit system.
  • Ensure that department's various online audits are accurate for each catalog year via collaboration with college and Registrar's Office staff.
  • Assist with the facilitation of timely transfer credit evaluation for students, including department decision-making on the applicability of any transfer credit.
  • Ensure that department decisions on applicability are recorded on petitions and are accurately reflected in the online degree audit.
  • Guide students needing procedural assistance (petitions, late drops/adds, Special Action Forms, change of major, course schedule adjustments on CU-SIS, etc.).
  • Participate in new student welcome programs and onboarding processes for new students (virtually and/or in-person).
  • Assist with the coordination of student mentoring programs (with other students, faculty, and/or alumni).
  • Leverage the services of the Engineering Career Services Team to keep students informed of employment and professional development opportunities.
  • Consult with appropriate graduate advisor as needed regarding BS/MS students.

Other

  • Assist in the training of new professional academic advisors as assigned.
  • Serve as a backup to other undergraduate advisors in the College, as needed.
  • Participate in professional development activities.
  • Undertake other duties and responsibilities as assigned.

Qualifications:

Required Qualifications

  • Bachelor's degree from an accredited institution.
  • One year of professional-level experience as an academic advisor in higher education.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work independently as well as on a team.
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.

Preferred Qualifications

  • Master's degree from an accredited institution in education, counseling or a related field.
  • Experience working with STEM students in a higher education setting.
  • Familiarity with cognitive development theory and with its application to the advisement of college students.
  • Experience interacting with parents of college students.
  • Familiarity with university's student information systems (e.g., Campus Solutions, degree audit system, etc.).
